1. Data Controller

2. Purposes for Which Personal Data Are Processed

In organising the Conference and operating the website, or in connection with the operation of the website, the Controller processes personal data for the following purposes, described in detail below:

  • Website traffic analysis;
  • Advertising campaign analysis;
  • Ticket and merchandise sales and Conference organisation;
  • Accounting;
  • Communication with visitors;
  • Marketing communications;
  • Ensuring the security and technical operation of services;
  • Legal protection.

2.1 Website Traffic Analysis

The Controller uses Google Analytics and Facebook Pixel to analyse website traffic. These services use aggregated statistical data on how the website is used, and their operation requires the ability to distinguish individual visits to the website. Cookies and similar technologies, further described in Section 4 below, are used in particular for this purpose. Information obtained in this way is used to improve the user experience, identify website errors and improve the quality of services. Website analytics cookies are stored in your browser only if permitted by your browser settings and if you consent to their storage through the relevant dialogue displayed when you visit the website. 2.2 Website Traffic Analysis

The Controller uses services to analyse the effectiveness of advertising on Google and Meta (Facebook) platforms. These services use data on visits to the website, and their operation requires the ability to distinguish individual visits. Cookies and similar technologies, further described in Section 4 below, are used in particular for this purpose. Information obtained in this way is used to measure the effectiveness of advertising and advertising campaigns. Marketing cookies are stored in your browser only if permitted by your browser settings and if you consent to their storage through the relevant dialogue displayed when you visit the website. 2.3 Ticket and Merchandise Sales and Conference Organisation

For the purpose of arranging ticket and merchandise sales and organising the Conference, the Controller processes personal data necessary for the conclusion and performance of purchase contracts, including related administrative and organisational activities. This processing primarily concerns the purchaser’s basic identification details (first name, surname and email address), billing information, delivery information, information about the content of concluded contracts, purchases made and related communication and the handling of associated requests (e.g. delivery changes, complaints and cancellations), payment information and mutual obligations, and information concerning the organisation of the Conference, including organisational communications and ticket checks during attendance. Processing these data is necessary for concluding contracts for the sale and purchase of tickets and other goods, performing those contracts and ensuring the proper running of the Conference.

2.4 Accounting

As a legal entity, the Controller is obliged to maintain standard accounting records, which may include information on concluded transactions and related liabilities. For accounting purposes, data on transactions and payments, including prices, cryptocurrency payments, purchaser identification, and receipts or invoices, are processed. Processing these data is necessary for compliance with the Controller’s legal obligations, and the data are retained for the statutory retention period, which may be up to 10 years after the end of the relevant accounting period.

2.5 Communication with Visitors

If you contact the Controller using the published contact details, messages received in this way, including all information provided, will be processed by the customer support team to ensure that requests, questions and other matters are handled properly. This information is processed on the basis of the legitimate interests of the Controller and the user in resolving the requests, questions and other matters raised by the user. Data processed in connection with customer support are retained until the matter is resolved and for a further six months.

2.6 Newsletter and Other Marketing Communications

If you subscribe to the newsletter or do not opt out of inclusion on the mailing list when purchasing tickets or other goods, the Controller may occasionally send information about current news, new products and services, events organised by partner organisations and other relevant information to the email address or other contact details provided. Your email address will be added to the contact list with your consent if you subscribe to the newsletter on the website or if you do not decline inclusion in the list when purchasing tickets or other goods. Your email address will remain on the recipient contact list until you unsubscribe. You may unsubscribe from marketing communications at any time by clicking the unsubscribe link included in each message or by contacting the Controller directly with your request. The Controller is then entitled to keep a record of your preference not to receive marketing communications.

2.7 Ensuring the Security and Technical Operation of Services

To operate the website and provide services properly and securely, it is necessary to collect and process certain technical data concerning use of the website, including IP addresses, browser parameters and cookie storage. Such processing is carried out in accordance with the legitimate interests of the Controller and users in the secure and proper operation of the website and provision of services.

2.8 Ensuring Legal Protection

All personal data collected may be processed to ensure the legal protection of the Controller, users or third parties, and to establish and settle legal claims. For this purpose, all processed data are archived for at least three years from the date of collection, unless particular data are required for longer. Processing for this purpose is based on the legitimate interest of the Controller or third parties in protecting their interests, enforcing their claims, defending against third-party claims, and resolving disputes and complaints.

Personal data are kept private and protected with the highest possible level of security. However, to provide high-quality services, we use suppliers who provide organisational, marketing, technical and other services and may include in particular:

  • Providers of technical IT services, including infrastructure (hosting and support providers);
  • Accounting, legal and tax advisers;
  • Payment service providers;
  • Bulk email service providers;
  • External collaborators.

3.2 Meta (Facebook)

The website uses Facebook Pixel to analyse website traffic and advertising effectiveness. Sharing data with the provider of this service may involve transfers to third countries outside the EU, including the United States. The Controller has entered into a personal data processing agreement with the provider in accordance with the GDPR, based on standard contractual clauses approved by the European Commission.

4. Cookies

4.1 What Are Cookies?

4.5 Cookie Settings

If all cookies are rejected, the website and the purchase of tickets and other goods may not function properly, or it may not be possible to provide these services at all. 5. Information on Your Rights

In connection with the processing of your personal data, you have the following rights: (1) the right of access to personal data, (2) the right to rectification of inaccurate personal data, (3) the right to restriction of processing, (4) the right to erasure of personal data, (5) the right to object to processing, (6) the right to withdraw consent, (7) the right to data portability, and (8) the right to lodge a complaint with a supervisory authority. The Controller may need to verify your identity when you request to exercise any of these rights and is entitled to request additional information in order to fulfil your request.

5.1 Right of Access to Personal Data

In connection with the processing of personal data, you have the right, upon request, to receive information about the processing of your personal data and a copy of the personal data being processed.

5.2 Right to Rectification

If you believe that your personal data are inaccurate, outdated or otherwise incorrect, you may contact us and we will arrange for the appropriate correction.

5.3 Right to Restriction of Processing

Where the data being processed are inaccurate or you have lodged an objection, you have the right to request restriction of processing.

During the restriction period, personal data will only be stored and no operations will be carried out on them without your consent. The restriction will remain in place for as long as one of the circumstances described above persists (e.g. while an objection is being assessed or until a correction has been made). You will be informed of any termination of the restriction.

5.4 Right to Erasure

If you withdraw your consent to the processing of personal data or the personal data are no longer necessary, you have the right to request their erasure. In certain cases, however, the right to erasure is limited. For example, personal data processed to comply with legal obligations cannot be erased before the expiry of statutory retention periods.

However, we do not currently carry out such processing.

5.8 Right to Lodge a Complaint with a Supervisory Authority

If you believe that your personal data are not being handled in accordance with the law, you may contact the competent supervisory authority in the place where you reside, where you work or where the infringement of your rights occurred. In the Czech Republic, the supervisory authority is the Office for Personal Data Protection (Úřad pro ochranu osobních údajů).

6. Effective Date and Amendments

6.1 Amendments

The Controller reserves the right to change the details of personal data processing as necessary. In such a case, you will be notified of the change and the new version of the personal data processing information will be published on the website.

6.2 Effective Date

This information on the processing of personal data is issued with effect from 1 September 2026.
